Organization Description
The Historic Fredericksburg Foundation, Inc. (HFFI) was founded in 1955 as a member-supported, non-profit (‘501c3’) organization dedicated to preserving, protecting and revitalizing the distinctive historic environment of the Fredericksburg, Virginia area. HFFI fulfills this mission through education, research, advocacy, and financial support, and with the support of our standing membership.
Position Summary
HFFI is seeking a part-time (20.0 Hours/Week) External Affairs Coordinator (EAC) to help support its various marketing, public relations, events planning, and fundraising efforts. The EAC will work closely with HFFI’s Executive Director, Office Manager, and Board of Directors to help plan, implement, and monitor new and existing initiatives. In addition, the EAC will provide support to the Board and Executive Director on other HFFI efforts as needed. He/she will be responsible for the duties described below.
Primary Responsibilities
Development:
- Recommend and execute new processes and procedures, as necessary, for effective management of HFFI’s marketing, public relations, membership development, and fundraising campaigns;
- Oversee the planning, implementation, and management of various development, marketing, fundraising, and public relations projects and initiatives;
- Maintain membership database including inputting new data, maintaining current data and running reports;
- Coordinate preparation and sending of mass direct-mail pieces;
- Assemble proposals, reports, and information packets;
- Undertake prospect research.
Communications:
- Correspond and communicate with HFFI members, volunteers, contractors, vendors, City officials and staff, members of the press, and other project-specific contacts as needed;
- Maintain graphics and photo files and issue-related or subject reference files;
- Oversee distribution and mailing of materials;
- Maintain press contact database;
- Maintain press clippings;
- Help maintain website by providing basic updates, refreshes, and some content generation (some training may be required);
- Assist with HFFI Quarterly Newsletter and annual publication of The Journal of Fredericksburg History;
- Assist with compiling of HFFI reporting and presentation materials.
General Functions:
- Supervise and organize, in consultation with the Executive Director, the work of volunteers and interns;
- Help staff HFFI events (NOTE: may require some weekend and/or evening hours);
- Filing;
- Help maintain departmental calendar including grants, reports and publications deadlines.
Skills/Core Competencies
Required:
- Experience with non-profit organizations;
- Excellent organizational skills;
- Ability to prioritize numerous ongoing projects;
- Computer proficiency in Word, Excel, Power Point, Adobe;
- Ability to work within reasonable deadlines and plan accordingly;
- Ability to work cordially and professionally with all levels of staff and volunteers;
- Detail oriented.
Desirable:
- Familiarity with databases—particularly membership-oriented software packages
Qualifications
- Bachelor’s degree or equivalent experience;
- Minimum two years work experience in this field mandatory;
- Knowledge of historic preservation issues a plus.
